Nearly all of our customers have committed to electronic communications for their financial reporting to some degree - whether it is to provide a more engaging experience for a wider online audience, or perhaps to reduce the production run of printed reports, or often a mixture of both. The exercise has broadly been to deliver the information in the most effective format for the individual as efficiently as possible.

However, for the environmentally conscious, there still remains a significantly wasteful practice of 'over-ordering' the annual report. This is primarily to allow for interested parties (or shareholders who accidentally opted out of receiving a printed copy) to receive a hard copy of the company’s report upon request. The cost of reprinting limited numbers of reports, because demand was greater than supply, has always meant that the procurer could not afford to underestimate the number of printed copies. The cost of making litho presses ready for small production runs is an expensive exercise.

Above the cost of production, there is also the storage cost of a substantial number of boxes sitting at head office, taking up valuable floor space, awaiting a request. A pallet of books sited in an office with a prime location, could be costing the company a considerable amount of money.

There is then the administration cost of taking the telephone call, capturing the address details, locating the boxes of reports from the store room and then fulfilling the mailing requirement individually. Will the enquiry be captured appropriately on a database? Possibly, but it is not likely that the right questions would be asked to qualify the inquiry to provide good information about the request that could be used by the company in the future.

So this over-ordering exercise and subsequent bespoke fulfilment is a wasteful approach that has remained a necessary cost for all companies.

How do we do it?

Jones and Palmer add a simple form facility to your company website, (it does not matter if we do not currently provide your corporate site - although we would love to talk to you about it!). This form can then be completed by the end-user and submitted online.

Once the order is received at Jones and Palmer, a copy of your annual report will be digitally printed and finished to an excellent standard, with a matching binding.

Your annual report is then posted 1st class (UK addresses only). An email is sent to notify the recipient that the hard copy is in the post.

Jones and Palmer will design and set up the online ordering system free of charge. All you will be invoiced for are the copies ordered.
